Archiving a client removes the client from client lists – reducing clutter and letting you focus on current clients. You can restore the client from the archive later if necessary.
When a client has been archived:
- It no longer appears on the Active tile on the Clients tab in the Client Manager.
- It no longer appears in the drop-down list of clients when creating jobs, quotes or invoices.
Two types of clients
recognises two 'types' of client, and the results of archiving or restoring a client are slightly different for each type.
- Regular clients (or just 'clients') are created by using Clients > + Create New Client, or added when creating a new job, or quote or estimate (client Status=Active).
- Lead clients are added when creating a lead (client Status=Lead).
When you archive a client or a lead client, they are both moved the the Archived tile and the Status is changed to Archived.
When you restore a client or a lead client, they are both moved to the Active tile. However, the client's Status is set to Active and the lead client's Status is set to Lead.
The lead client's Status remains as Lead until it is changed to Active when the lead is marked as Won and a job created from the lead.
Archive a client
To archive either type of client:
- In the main menu, select Clients.
- If required, click the Filter button (at right) and select the required filter.
Choose any Status other than Archived to show active clients.
- On the Clients screen, select the checkbox to the left of the client name for each client you wish to archive.
- Click Archive and confirm you wish to archive the selected client (or clients).
Restore a client
To restore either type of client from the archive:
- In the main menu, select Clients.
- Click the Archived tile on the Clients tab.
- Select the checkbox to the left of the client name to select each client you wish to restore.
- Click Restore and confirm you wish to restore the selected client (or clients).
