The mobile app allows you to record time and manage your jobs, tasks and clients - all from your personal device. The mobile app is available for both Android and iOS devices.

While a range of features is ready for immediate use, please note that not all features are available yet. We're committed to continuous improvement, prioritising the most requested features based on your feedback.
- Create, edit and delete timesheets
- Upload/download documents/photos to a job
- Submit weekly timesheet
- View job information including notes/documents/costs
- View client information
- Create/update/delete job notes, job costs and job tasks
- Add notes to a job.
Features available before 26th June include all of the above, plus:
- Edit job information including tasks/costs/notes/documents
- View and edit custom fields on clients/jobs/contacts
- Sync documents with an integrated Document Management System (DMS).
We'll be adding even more features in the future to enhance your mobile experience.
Get started
Follow the steps below to get started with using on mobile.
1. Remove the WorkflowMax by Xero app
If you have been using the WorkflowMax by Xero app, avoid possible confusion by removing it from your device before you set up the app.
2. Download and install the app
- For Android - download from Google Play Store
- For Apple - download from Apple App Store.
3. Access your account
Once you have installed the app on your device, do one of the following to access your account:
- If you have already have a login, log in to the mobile app using your email address and password.
- If you don't currently have a login, ask your team Administrator to create one for you by inviting you into . On your laptop or desktop computer, go to your email inbox, open the verification email, click ACTIVATE NOW and create a password for your account. On your mobile device, open the mobile app and log in using your email address and password.

I want to record time against a task - why can't I see that task in the Add time screen?
Once a task has been added to a job, that task will appear in the job's information screen. The Organisation setting Staff Task Allocation controls which tasks you can record time against. If it's set to:
- Explicit, you can record time against only those tasks that have been specifically allocated to you.
- Inherit from Job, you can record time against any task that has been specifically allocated to you. You can also record time against any tasks that are not allocated to other staff members.
Also, you won't be able to record time against a task if the task has been flagged (
) as completed.
Android troubleshooting

I get an error on login: Invalid Account?
The mobile app cannot be used with an invalid account. If you are connected to:
- a single invalid account we won't let you log in at all
- multiple accounts and one of them is invalid, we'll exclude that account as an option when switching accounts.
An account can be invalid for a number of reasons including, but not limited to: missed payments, expired trials, deleted or on-hold accounts, or specific account configurations. Please contact our support team if you're getting this error and are unsure why.

Multi-device time recordings
If you are using on several devices (your smartphone and the web app, for example), both devices interact with the live system. This means that you may need to refresh the screen periodically on each device to see the latest data.

Access security permissions should be same in Android as in the web app, but please contact us with examples if there are discrepancies.

I lost my phone - what do I need to do?
The authentication mechanisms used in the Android app are modern and robust, but to be completely safe you should erase all data via "Find My Phone".
